How long does it take to export to warms
The export in 2 phases
1. Part 1 (Water user) , property AND/OR dam/waste management facilities every half hour.
2. Part 2 after midnight if Part 1 (Water user) , property AND/OR dam/waste management facilities was successfully processed.
  
How to generate file number and license number
License number can be generated under ASSESS TECH REPORT TAB UNDER MENU LICENCE(WUL)
Required information to generate license number is on APPLICATION PAGE

How to re-select specialist type
The system make provision to specialist type to be requested once, but can be allocated to more the one specialist.
If the user need to request again from the specialist type the outstanding assignment to the specialist in the that type must be concluded or cancelled to allow the user to request another specialist for the same type
  
When and how to send an application to warms on the system
Application must can be forwarded to WARMS
IF GA – all DW registration forms was validated and electronically signed OR signed copy of the GA internal memo exist on the application.

IF WUL all DW registration forms was validated and electronically signed OR signed copy of the License (WUL) exist on the application.
  
Where and why to upload signed copies
Under TOOLS/SCANS/UPLOADS TAB these copies are uploaded because they were processed manually
  
When does the system start counting
PHASE 1 SUBMISSION
If (Approval Period = 300 AND Screening Outcome is WUL) or if Screening Outcome is GA
Set Application Date
Recalculate Approval Period based on the Application Date

IF Application Date > = 2021-04-01 then 90 Day
Else if Application Date < 2021-04-01 then 300 Day

PHASE 3 SUBMISSION
If Approval Period = 90 AND Screening Outcome is WUL
Set Application Date
Recalculate Approval Period based on the Application Date
IF Application Date > = 2021-04-01 then 90 Day
Else if Application Date < 2021-04-01 then 300 Day

APPLICATION PAGE
If Application is Internally Created and Submission Date has not been set
Set Submission Date
Calculate Approval Period based on the Submission Date
IF Submission Date > = 2021-04-01 then 90 Day
Else if Submission Date < 2021-04-01 then 300 Day

Also allow official to change the Application Date –Check/rule that pre-application date cannot be > application date.
  
Delete ROR, WUL and other draft letters
Functionality is currently only available to e-WULAAS support team
  
Is it possible to transfer a water license
This is business related question and the requester will be refers to business.
  
When can a water user name be changed
INTERNAL USERS
We require consent from the case officer and appointment letter from client

EXTERNAL USERS
Raise a support call to e-WULAAS to assist with the problem. An application may be linked to a water user and it needs to be considered when water user name is changed.
  
How to prevent session override
Refrain from open multiple sessions of e-WULAAS at the same time always login into a single session and not open two windows.
  
Status changes and user role functions
Status
e-WULAAS execute automatic status change if the application goes through the application process as per Standard operation procedure SOP.

e-WULAAS also allow the user to make manual status changes. The user is reminded that this will take the application out of the application process and will have to be put back into the process by action the action buttons

Roles
The user have access roles and can access functions of the system as per the user rolls indicated on the e-WULAAS user registration form.
  
Why are the applications not moving after signature was completed on the system e.g. DIR IE
The application was manually assigned and allocated to the relevant signatory.

The system has signature route and process that need to be followed. The application will do status change and move the application to next signatory in the process.

When and why must one apply for a water licence

What is a water user primary contact
The primary water users person or entity authorized person to apply for entity how will be responsible of the water use. Contact will be set on the pre-application page. The department User must ensure to check the main contact person on the client information page
  
What is the application primary contact
Primary person who will be notified about application
  
What do I use as a reference number for POP
WU ref number or application name
  
Who is the case officer assigned to the application
Support team will be able to provide details of the officials who will access the application.

The contact details on the assessing DW officials will also be available on the communication from the department on the external portal
  
Why are the tabs greyed out
The application will be not available if the phase was already submitted or if the application is available to the DW officials for assessment purposes
  
Forms not saving entered information
Most probably error on the system and need to reported to Support team to assist with error
  
I need to create a different Profile, but my ID number is still linked to previous profile.
Raise support call to e-WULAAS to assist the problem.
