How to Capture Water Quality Results Electronically on WMS ? Chapter 3

INTRODUCTION

Chapter 3: Loading data

This chapter will show you how to load the data into WMS.

Checking monitoring programme information against electronic data

Load electronic data that is not associated with monitoring programmes is possible with the electronic import function, but it will require more information and will thus take longer to enter and involve more work.

 

For all data entered, record the required background information on the WMS system to ensure successful imports. Register monitoring points and check that variables, laboratories and analytical methods and associated data exist on the system. When in doubt follow the Phase 1 training procedure to make sure that the information is on WMS.

 

When your monitoring programme is registered, check that all the monitoring points and their variables are present in your monitoring programme.

 

  1. Start the Monitoring Management Subsystem
  2. Under the Monitoring Programmes Main Menu, select Programme Administration, View Programme Samples.
  3. Enter your monitoring point id and press the View Samples button. Check the information. Press the Sample Analysis button. Check that all variables are present. Repeat this action for all monitoring points in your data.

 

If necessary, update your monitoring programme.

 

Import your electronic data.

Start the electronic data import function

  1. On the Main Menu, select Sample and Result Register menu.
  2. Select Electronic Data Import menu
  3. Select Import Electronic Data option

Import the electronic data

  1. Select your Transfer Type = External
  2. Click the indicator ?Is this data related to a monitoring programme?? to show ?Yes? by clicking once on the field.
  3. Press Next

Select the specific import format for your data source

At the moment most of the data is imported via the ?fixed format? import method. A record was registered for your specific data source (analyst or water user that supplied the data), i.e. SABS Cape Town will have one format for Wqvariables and Caltex will have another.

  1. Look for the Import Format Name registered for your data source. Select it. Warning: If your data source is not present, log a call to request that a data source record be created and state the WMS Organisation Name and Organisation Id for the data source. Do not use another import format.
  2. Press Next.

Select the file containing your electronic data

  1. You can type in the path where your file is stored or you can Zoom to the specific directory and select the file by double clicking on the File Name field.
  2. Press Next
  3. The data in your file will be read and stored in a work table on the WMS database.

View Imported Data

  1. ?When completed it is possible to view your imported data on the Import Summary View. The summary view shows the number of records transferred. This must be equal to the number of record in your data file.

 

You can now exit the program or continue the process using the Administrate Data button. You can also view the imported data (Import Data V button) or the import history (History V button). The Register button will be active if WMS data were linked successfully.

 

The next step in this process will be to link your imported data to WMS equivalent data. This process will be described in Chapter 4: Linking imported data to equivalent WMS data.
